Draft to Greenleaf, second reminder

Hi Anna, a quick nudge on invoice 1042 for $4,500. It was due on 16 October. Could you let me know when it is scheduled? The PDF is attached again. Thanks, Emma

Rule from memory: Brightside pays on the 5th. A firm note before then rarely helps. Consider a call.

Every Tuesday, the agent lists overdue invoices from your accounting tool. It drafts a polite reminder per client, firmer as days pass. You approve each one.

How we estimate the time saved: About 1 hour a week checking who is late and writing reminders. Most owners put it off, which costs more than the time.

Who it is for

Agencies and studios that invoice monthly and chase payments by hand. Also any store that sells to businesses on invoice.

that one task i hate from all my heart is chasing people who owe me money.

The skill to save

Copy it into Skills, then New skill. Edit the parts in brackets.

Skill
Name: Overdue invoice reminder

Every week:

1. List unpaid invoices past their due date from the accounting tool.
2. For each, check our payment rules for this client in company memory.
3. Pick the step: 1 to 7 days late, light. 8 to 21, friendly. Over 21, firm, copy the client's founder.
4. Draft the reminder: invoice number, amount, due date, a clear ask for a payment date. 70 words max.
5. Attach or link the invoice again.
6. Never threaten, never add fees unless our terms in memory say so.
7. Write a total at the top and flag clients who should get a call.

What stays under your control

  • Every reminder waits for you. Some clients need a call, not an email.
  • Read only in accounting. The agent cannot change or void an invoice.
  • Your tone, step by step. The skill sets how firm each step is.

Good to know

Odoo also works. For other accounting tools, add them as a custom connector by their link.
