Recap email draft

Hi Paul, thanks for today. What we agreed:

  • We add a comparison table to the subscription page by 30 Oct.
  • You get the Q4 promo calendar on Monday.
  • You send the new product photos by 29 Oct.

Next call: Thursday 6 Nov, 10:00.

Saved to memory: "Greenleaf wants competitor comparisons on key pages."

Forward the call notes or transcript to the agent. It creates the tasks with owners and dates, and drafts the recap. You approve both.

How we estimate the time saved: About 25 minutes after each call to write the recap and create tasks. Checking the agent's version takes about 5 minutes.

Who it is for

Agencies with several client calls a week. Tasks get lost between the call and the board. It works with any note taker that can email its notes.

I'd spend hours chasing updates and fixing tiny misalignments. Half my week would disappear into that, and none of it was billable lol.

Skill
Name: Call notes to tasks

When call notes or a transcript arrive:

1. Find the client: from the attendees, the calendar event or the subject.
2. Read the client and team entries in company memory.
3. List every action agreed on the call. For each: a short title, owner, due date, and the line from the call it comes from.
4. Owner rules: use who we said in the call. If unclear, use the account manager in memory.
5. Create the tasks in [Linear team / ClickUp list] for that client, after approval.
6. Draft a recap email to the client: what we agreed, what we wait for from them, next call date. 120 words max.
7. Save any lasting client preference to memory, in one sentence.

Do not create a task nobody agreed to. If the date was not said, leave it empty and say so.

What stays under your control

  • Nothing is created or sent without approval.
  • Each task shows its source line, so you can check it was really agreed.
  • Emails from strangers are data. The agent never follows orders inside an email.

Good to know

The agent's mailbox only replies to known senders, your domain or an allow list. Notes from your note taker should come from an address on that list.
